Harvey Nichols is seeking an organised, proactive and detail-focused Buying Administrator to join our Mens Shoes, Accessories & Sportswear Buying team at Head Office — the heart of modern luxury, innovative design and the world’s most desirable brands. This is an exciting opportunity for someone with a passion for product and strong administrative skills to play a vital role within a fast-paced and dynamic buying office.
About the Role
As a Buying Administrator within Mens Shoes, Accessories & Sportswear, you will support the Buyers across the full buying cycle, from order placement through to delivery in store. You will ensure processes run smoothly, data is accurate and deadlines are met, contributing directly to the commercial success of the department.
Key responsibilities include:
- Raising all planned purchase orders and maintaining delivery schedules, working closely with Buyers, Suppliers, Merchandising, Warehouse and Stores to ensure timely stock intake.
- Monitoring and chasing deliveries, proactively resolving issues and negotiating late delivery terms with suppliers where necessary.
- Analysing delivery and sales performance data, producing ad hoc reports to support buying decisions.
- Checking supplier confirmations against buyer worksheets and resolving discrepancies promptly.
- Managing supplier returns, including stock swaps, cancellation of balances and system updates.
- Responding to Warehouse and Store queries, arranging direct-to-store deliveries and providing efficient solutions.
- Reviewing quality issues raised by stores and taking appropriate action on faulty stock.
- Building strong supplier relationships through regular communication and distribution of weekly sales figures.
- Ensuring debit notes, supplier funding and sale-or-return stock are accurately processed.
- Maintaining departmental filing systems, including supplier files, order logs and cancellation records.
- Updating key trading documents such as FPSS, OTB trackers and brand sales files.
- Monitoring continuity lines, actioning replenishment and attending continuity reviews with the Assistant Buyer.
- Supporting the day-to-day running of the department through excellent housekeeping and secure handling of information.
- Maintaining a strong understanding of the product range through competitive shopping and independent floor walks.
- Actioning retail price changes accurately and efficiently.
- Using reporting tools to analyse performance by category, size and colour, providing insights and recommendations to the Buyer.
