Executive Assistant – Beauty team – Fixed Term Contract, 4 months.

Luxury department store, Harvey Nichols, is searching for a new Executive Assistant to join the Beauty team in our Head Office in London – Knightsbridge on a fixed term basis. As the new Executive Assistant for the Beauty team, you will support the Beauty Director with their business needs and the wider beauty team with any administrative tasks they may have. To also provide a confidential and administrative service to the Beauty Director plus supporting the Beauty team and other areas of the business as requested.

About the role…  

As the new Executive Assistant, your tasks will include:

  • Management of the Director’s email and responding where possible. Ensuring the Director is kept up to date of any urgent matters.
  • Management of the Director’s diary, ensuring all relevant documentation is prepared prior to meetings.
  • Produce documents as required, whilst working to tight deadlines, ensuring excellent attention to detail.
  • Note taking for management meetings as required
  • Arranging bi-annual range reviews / updating floor plans / collating sales figures and attending. Taking minutes as required.
  • Arranging travel (sometimes last minute); booking flights/rail/cars, reserving hotel accommodation, obtaining visas if applicable, organising foreign currency/cash advances, finalising/confirming itineraries and ensuring all parties travelling are prepared in advance of their departure.
  • Further travel assistance, i.e. checking in for flights, arranging airport transfers from London
  • Ensure all arrangements are made for the Fashion Buying trips (including preparing schedule packs, circulating show information prior to trips and arranging all meetings).
  • Management of the Director’s expenses, clothing allowances and petty cash claims.
  • Ensuring all direct reports submit their expense claims on a timely basis for checking and approval.
  • Reviewing the Directors and department employee’s time and attendance. Ensuring sickness, holidays and TOIL are logged, recorded and taken according to company policy.
  • Build strong and efficient working relationships across the group to ensure good interdepartmental communication.
  • Day-to-day office support duties including but not limited: Fielding incoming department calls and dealing with enquires from both internal and external parties
  • Further HR assistance for wider team, i.e. new starters
  • Any other duties as requested by the Director
  • Ad hoc project work

About your experience

  • Excellent organisational, administrative and time management skills
  • Accurate, fast typing with excellent attention to detail
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Previous office experience required, ideally within a Corporate environment
  • Good numerical skills required for budgetary and expense work
  • Experience of working in a fast-paced office environment
  • An interest in Fashion is desirable
