Harvey Nichols is looking for an organised, proactive and detail-driven Buying Administrator to join our Womenswear Buying team at Head Office – the home of modern luxury, innovative design, and the world’s most sought-after brands. About the Role
As a Buying Administrator in Womenswear, you’ll be at the heart of the department, supporting our Buyers to ensure the smooth running of the buying cycle from order creation through to delivery. You will help drive performance, maintain impeccable organisation, and keep everything running with precision. In this role, you will:
- Raise all planned purchase orders and maintain delivery schedules, liaising closely with Buyers, Suppliers, Merchandising, Warehouse and Stores to ensure stock arrives on time.
- Monitor and chase deliveries, resolving issues proactively and negotiating late delivery terms with suppliers where required.
- Analyse delivery and performance data, producing ad hoc reports to support the Buyer’s decision-making.
- Check supplier confirmations against buyer worksheets and resolve discrepancies swiftly.
- Manage supplier returns, including stock swaps, cancellation of balances and updates within internal systems.
- Respond to Warehouse and Store queries, arranging direct-to-store deliveries and identifying solutions quickly and efficiently.
- Review quality concerns with stores and take action on faulty stock.
- Build strong supplier relationships through regular communication and by sending weekly sales figures.
- Ensure debit notes, supplier funding and sale-or-return stock are processed correctly.
- Maintain departmental filing systems, including supplier files, order logs and cancellation logs.
- Update key documents including FPSS, OTB trackers and brand sales files.
- Monitor continuity line performance, action replenishment and attend continuity reviews with the Assistant Buyer.
- Support the running of the department through excellent housekeeping and secure handling of information.
- Stay familiar with the range, conduct competitive shopping and independent floor walks.
- Action retail price changes.
- Use reporting tools to analyse product performance by category, size and colour, preparing recommendations for the Buyer
