Here at Harvey Nichols we are seeking an experienced PA to provide a full confidential and efficient secretarial and administrative support to the Group Fashion Buying Director.

What you'll be doing:

  • Management of the Director’s email and responding where possible, filing all documents as required. Ensuring the Director is kept up to date of any urgent matters
  • Management of phone calls to the Director and cold calls to the Department
  • Produce accurate letters, documents as required, whilst working to tight deadlines, ensuring excellent attention to detail
  • Management of the Director’s diary, ensuring all relevant documentation is prepared prior to meetings
  • Management of the Time and Attendance records for direct reports to the Group Fashion Buying Director
  • Ensuring all travel/accommodation/currency is arranged prior to meetings, in the most cost-effective method
  • Office management including stationery orders, ensuring the team adhere to company policies and procedures’, making sure all office equipment is in working order and ensuring the office remains organised, clean and tidy
  • Provide secretarial/administration support on an ad-hoc basis to the senior managers (Head of) within the team
  • Meet & greet all visitors to the Group Fashion Buying Director, ensuring refreshments, itineraries and papers are organised
  • Management of the Director’s expenses, clothing allowances and petty cash claims
  • Ensure all arrangements are made for the Fashion Buying trips (including preparing schedule packs, hotel bookings, circulating show information prior to trips and arranging all meetings)
  • Arranging bi-annual range reviews / updating floor plans / collating sales figures and attending and typing up minutes for weekly meetings
  • Any other duties as requested by the Group Fashion Buying Director

A bit about your experience: 

  • Excellent organisational, administrative and time management skills
  • Accurate, fast typing with excellent attention to detail
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Previous office experience required, ideally within a Corporate environment
  • Good numerical skills required for budgetary and expense work
  • Experience of working in a fast-paced office environment
  • An interest in Fashion is desirable
