Job title:     Group Store Planning Co-ordinator

Grade:         Non-management

Reports to:   Facilities Manager

 

Job Purpose  

  • To carry out all administration duties and assist the Store Planning Manager with administration and co-ordination of Capital and Shop-fitting projects.

Job Objectives 

  • Updating & maintaining plans on CAD
  • Assist the store planning manager with the project management of large projects; including monitoring developments; maintaining & updating project gantt charts; issuing revised plans to all parties; chasing updated proposals from brands & issuing approvals to brands.
  • KB Beauty brands – issuing guidelines, checking brand submissions & overseeing installations
  • Ensure the Contractors database is kept up to date.
  • Ensure all contractor information including liability insurance and method statements and risk assessments are filed correctly.
  • Contact contractors to update insurance details.
  • Assist the Store Planning Manager with their administrative duties i.e. copying and sending drawings
  • Arrange for Contractors’ access to the site
  • Manage the Store Planning Manager expenses & diary
  • Ensure that all Operation and Maintenance manuals are received & filed for all projects.
  • Provide general assistance with the roll-out of Store Masterplan projects.
  • Organise schedules for each phase of the Store Masterplan and co-ordinate revisions to the plans.
  • Liaise with brands and internal customers directly affected by the Store Masterplans & large projects.
  • Visit all stores as necessary & be in Knightsbridge store regularly 
  • Ensure all correspondence is filed away methodically.
  • Attend meetings in SP Managers absence
  • Arrange the transfer of fixtures between stores & monitor fixtures stored at DC
  • Liaise with Facilities & other store teams re shopfits
  • Create snagging lists for projects & follow up to completion & closure
  • Collate & distribute project information to stakeholders
  • Communicate & implement project updates

?Qualifications and Experience required 

  • Proven administrative experience
  • Excellent written and oral communication skills are required
  • Excellent attention to detail
  • Solid working knowledge of MS Office applications, in particular Word and Excel, is required
  • CAD knowledge is preferable
