Luxury department store, Harvey Nichols, is searching for a new Facilities and Store Planning Coordinator to join the Facilities team in our Head Office in London – Knightsbridge on a fixed term basis. As the new Facilities and Store Planning Coordinator, you will play a vital role in store transformations, supporting the facilities team with administration and co-ordination of Capital and Shop-fitting projects.

About the role…  

You will: 

  • Ensure all correspondence is filed away methodically.  
  • Take telephone calls for Maintenance requests & supplier enquiries.  
  • Assist Maintenance managers with time and attendance administration, using Carval.  
  • Ensure Emergency Maintenance requests are passed on immediately.  
  • Ensure the Contractors database is kept up to date.  
  • Ensure all contractor information including liability insurance and method statements and risk assessments are filed correctly.  
  • Order Staff Uniforms.  
  • Contact contractors to update insurance details.  
  • Assist the Store Planning Manager with their administrative duties i.e. copying and sending drawings   
  • Arrange for Contractors’ access to the site.  
  • Manage the diaries of the Facilities Manager and Store Planning Manager.  
  • Ensure that all Operation and Maintenance manuals are filed.  
  • Provide general assistance with the roll-out of Store Masterplan.  
  • Organise schedules for each phase of the Store Masterplan and co-ordinate revisions to the plans.  
  • Liaise with brands and internal customers directly affected by the Store Masterplan.
